Where is the repeated work?
Follow one customer request from arrival to completion. For example, an inquiry may move from a website form to email, a calendar, a job record, and an invoice. This is an illustrative workflow, not a claim that every business uses the same tools.
At each step, note who handles it, what information they need, and how they know the next step happened. Repeated copying may be a sign of a missing connection, but it can also reveal a process that needs simplifying.

Do the tools need integrating?
Software integration lets systems exchange information. Workflow automation uses rules to move a task forward. Sometimes you need both; sometimes an existing feature or a clearer responsibility is enough.
Before connecting anything, confirm which system holds the reliable record and which details should move. Decide how corrections and duplicate requests will be handled.

- Move only the information needed for the next step.
- Keep a person responsible for exceptions.
- Check what happens when a connection fails.
What should you automate first?
Choose a repeated, understandable task with a result you can check. Keep judgment-heavy decisions with a person until the process and risks are understood.
Test with representative examples before relying on the connection. A successful test should include an ordinary request and a case that needs correction or review.
Who looks after the connection?
Apps, permissions, fields, and business rules change. Agree on who will notice a failed handoff, review it, and keep the connection useful. Your existing staff or provider may handle this, or you may want additional support.
